The Profile settings page: basic information and clinical information

In this guide, we'll cover:

Basic information

  • Email — the address you sign in with. Clients never see it. Click Change next to it to use a different address (see below).
  • Phone, first/last name, and date of birth

Changing your sign-in email

You have two email addresses in your account, and they do different jobs:

  • Your sign-in email is the one you type to sign in. It is where account notices come, and it is never shown to clients.
  • Your practice email is the one clients see on invoices, superbills and intake emails. It is set under Settings → Practice (Practice settings). Changing it does not change how you sign in.

To change your sign-in email:

  1. Go to Settings → Profile.
  2. Click Change next to Email.
  3. Enter the new address and your current password, then click Send verification link.
  4. Open the email we send to the new address and click Verify this email. If you are not signed in when you open it, sign in with your current email first; you will be brought straight back.

Your sign-in email changes the moment you open the link. Until then, your current email keeps working and the pending address is shown under the Email field, where you can cancel the change. The link works for 24 hours.

note

We also send a notice to your old address when the change goes through. If you use the phone app, sign out and back in there with the new email.

An address that another account already uses to sign in cannot be chosen.

Clinical information

Your clinical details are used on insurance claims and billing documents:

  • NPI Number — your individual (Type 1) NPI
  • Taxonomy Code and Specialty
  • Licenses — add each license with its type and number (use + in the Licenses section)
Why this matters

Your license and NPI drive several things: they appear on claims and superbills, and they determine your subscription tier. Pre-licensed clinicians should also be linked to a supervisor — see Supervision.

Click Save Changes when you're done.

Your personal preferences

The rest of the You section of Settings holds your individual preferences (each has its own page):

  • Note Preferences — default note template and note-generation preferences
  • Note Templates — your template library and the gallery (see Note Templates)
  • Calendar — week start, timezone override, and Google Calendar sync
  • Online Booking — client booking requests
  • Video Link — your personal video address, in practices where video links are switched on (see Video Sessions)
  • Widgets — embeddable booking widgets for your website
  • My Rate Overrides — your personal rates when they differ from the practice fee schedule
  • My Notifications — which notifications you receive

Also on this page

  • Your Access — read-only badges showing your access level and any Supervisor/Supervisee status, so you can see at a glance what your account can do.
  • Profile Photo — JPG or PNG, up to 10 MB.
  • Security — Change Password, and Two-Factor Authentication (scan the QR code with an authenticator app; add an email backup; disable from the same place). See Security & HIPAA.
