Week of August 16: type a note, let AI structure it

Typing your session notes now gets the same AI help as dictating them, assessments can go out in the bulk Share documents wizard, and you can now bring your clients over from Sessions Health.

New

  • Switching from Sessions Health? Bring your clients over in minutes. Settings → EHR Import now accepts Sessions Health exports: in Sessions Health, generate an "All Clients" data export (leave the "combined" option unchecked), then upload the zip here. Your clients import automatically — demographics, contacts, diagnoses, insurance, notes, treatment plans (as drafts for you to review and sign), and documents. Then, before anything is final, you review it: each client's chart shown side-by-side against your export so you can confirm everything arrived, with one click to finish — or one click to remove everything the import created.

  • Credit card authorization form, ready to enable. Settings → Intake Documents → Consent Forms now includes a "Credit Card on File Authorization" — a signable consent that authorizes you to charge a client's card on file for session fees, copays, and late-cancellation fees. It starts switched off; turn it on to offer it in intake packets, and edit the wording to fit your practice. The Intake Questionnaires tab also gains a "Credit card on file" system card under the Demographics form: check Request credit card on file when sending intake documents, and your client adds their card through the secure payment page after finishing their forms — card numbers are never typed into a form. Its Include in intake switch sets the practice-wide default so the request starts pre-checked for every intake you send (you can still uncheck it per client), and Preview shows what your client will see.

  • Ask for a signature on any questionnaire. The intake questionnaire builder has a new "Ask for client signature when submitting" option. When it's on, clients type their full name to e-sign right after answering — recorded with the date and time, plus an optional "relationship to client" line for a parent or guardian completing forms on a client's behalf. The signature appears on the completed response.

  • Duplicate any intake form. Consent forms and intake questionnaires in Settings → Intake Documents now have a Duplicate button. The copy is created as "(Copy)", starts switched off until you review it, and is yours to rename and edit — handy for making a variant of a form without starting from scratch. Custom questionnaires you no longer need can now also be deleted (deletion stays blocked for any form a client has ever been sent).

  • Print or save a blank copy of any form. A printer button on each consent form and intake questionnaire opens a clean paper version — your practice name at the top, checkboxes and ruled answer lines for each question, and a written signature and date block on consent forms — ready to print or save as a PDF for clients who prefer paper.

Improved

  • Intake questionnaire builder speaks plain English. Question types are now named for what the client sees — Yes / No, Short answer, Paragraph, Multiple choice, Checkboxes (pick several), Date, File upload — instead of technical names like "Boolean" and "String". Checkboxes is its own type now (no separate step after saving), every question has a Required tick box, and the rarely needed types are tucked behind "Show advanced question types". Your existing questionnaires are unchanged.

  • Receipts now come from your practice. Clients are emailed a PDF receipt for every payment, branded with your practice name and contact details, and replies go to your Practice Email (Settings > Practice). Previously the only emailed receipt came from our payment processor under our name, so billing questions sometimes landed with us instead of you. Turn it off practice-wide under Settings > Client billing documents > Receipts, or per client in their Billing and Insurance settings.

  • Set your own statement descriptor. Settings > Payments now lets you choose the business name held on your payments account (5-22 characters). Practice-named card statements for your clients are in progress and will use this name.

  • "Can new clients book you online?" Settings > Online Booking now opens with a checklist that tests every switch the public booking page depends on — practice-wide new-client requests, your own booking switch, your hours, your Accepting New Clients row, and at least one service open to new clients — and links to whichever one is off. When everything is green it shows your booking link with a copy button.

  • Clearer chart views. The switch above a client's notes now reads Notes (the notes list) and Overview (sessions, notes, diagnoses, plans, and measures in date order). Pick either view and it stays picked on that device. Group-therapy charts offer Notes and Timeline.

  • Supervision reminders catch more cases. The "no supervisor linked" reminder (calendar and unsigned-notes pages for the clinician; Team settings for owners and managers) now also appears for anyone marked under supervision, not only those with an associate-level license on their profile.

  • Weekly Availability is always visible. On Settings > Online Booking, your weekly hours no longer hide behind the Accept Online Booking Requests switch. Every clinician can see and set their own hours at any time; the switch only controls whether clients can book into them. A short note under the switch explains this when it's off.

  • Meet Ask Cora AI. The chart question box on a client's chart and in Session Prep is now called Ask Cora AI. It includes a daily allowance per clinician — a small counter appears under the box as you near it, and it resets at midnight in your timezone. Ask Cora AI answers from the client's session notes, so on a chart that doesn't have any yet it now says so and offers to start a note instead of guessing.

  • Clearer pricing for group practices. Pricing pages and your Subscription settings now spell out the model: pre-licensed clinicians are always free, a solo licensed clinician is $19/month, and practices with two or more clinicians pay $39/month for practice management (which includes the owner's licensed seat) plus $19/month for each additional licensed clinician. The Subscription page now shows which team members are billed seats and your practice's monthly total. Update (Aug 23): if you bill insurance through us, two things are also priced per use — electronic claims at 25¢ each (ERA posting included) and coverage checks at 15¢ each. See Subscription plans.

  • Prefer typing to dictating? AI now helps there too. On the Dictation page, the "Prefer to type?" option now takes you to the typed-note page: type freely about the session — stream of consciousness is fine — and the AI organizes what you wrote into your template's sections, exactly like it does for a recording. Your client, session date, and appointment selections carry over. If you want a plain blank note in the editor instead, that option is still there on the typed-note page.

  • Generate with AI right from the client's chart. The "Add a note" box on a client's chart now has a Generate with AI button next to "Save chart note": type your session account in the same box, pick a template (your default is preselected), and the AI structures what you wrote into a full note. Quick free-form chart notes work exactly as before — one click, no template. And if you'd rather type into the template's sections yourself, a link below opens it in the note editor, bringing along anything you already typed so nothing is lost. Works for group and couples charts too, including the "Who attended?" selection.

  • Practice managers and schedulers can now run the calendar. Staff accounts — practice managers, schedulers, and billers — can schedule for the whole team: the New Appointment window now has a treating-clinician selector, staff see every clinician's calendar by default (with the team filter to narrow it), and online booking requests from prospective clients appear in one practice-wide list that shows which clinician each request is for. Appointments land on the chosen clinician's calendar and chart, not the scheduler's.

  • Cleaner accounts for non-clinical staff. Staff accounts no longer see clinician-only prompts: no license or NPI sections in their profile, no "Notes to Sign" in the sidebar, and a setup checklist that matches their role.

  • Send assessments in bulk with Share documents. The bulk Share documents wizard can now include scored measures (PHQ-9, GAD-7, and the rest of your enabled assessments) alongside forms and files, so you can send an assessment to several clients in one pass. Each bulk send is a one-time request — recurring assessment schedules still live on the individual client's Measures tab.

  • Stuck claims can now be deleted. Claims that haven't been submitted electronically — drafts and claims marked filed-externally — now have a Delete Claim button on the claim page. Deleting one returns the session to your Unbilled Appointments list so you can create a corrected claim with the session's current codes and fees. If a payment is already posted against the claim, deletion pauses and asks you to remove the payment first.

  • Voided claims now read as one story. Voiding a claim electronically sends the payer a separate cancellation transaction, and both used to appear as sibling rows with cryptic statuses ("Pending" / "Claim status: SUCCESS"). Now the voided claim's row carries the cancellation's progress in plain words ("Cancellation accepted by clearinghouse"), and the technical cancellation record stays out of your claims list unless it needs attention — the payer rejected it, or a payment is recorded on it. The claim pages link the two, and the cancellation record's own page explains what it is instead of showing payment fields that don't apply.

Fixed

  • Portal invites now wait for your portal address. If your practice hasn't chosen its client-portal web address yet, sending a portal invitation pauses with a link to set it up in Settings → Client Portal — instead of emailing clients a sign-in link that couldn't work.

  • Cancelling or changing your plan during a free trial now works. Both actions previously failed with an error until the first payment had gone through.

  • Dates of service no longer show a day early on insurance payment screens. A timezone bug made the payment posting and payment detail pages display each session's date as the previous day. The dates stored on claims were always correct — this was display-only — but if you copied dates from those screens onto externally-filed claims, it's worth a spot-check.

  • Client date of birth no longer shows a day early on downloaded documents. The same timezone bug affected the DOB printed on document downloads and group billing — now fixed everywhere.

  • Insurance payments can no longer land on a voided claim's cancellation record. After voiding a claim, the payment posting screen used to offer the void transaction itself as a row to allocate money to. Void records are now hidden there, and the session reappears under Unbilled Appointments instead — so recording the payment creates a proper new claim for the session. Payments already recorded this way are unaffected and still reconcile.

  • Auto-generated superbill dates are correct for evening sessions. Monthly superbills now date each session in your practice's timezone, so a session late in the evening no longer shows the next day's date.

  • Deleting an insurance payment now clears it everywhere. Previously, deleting an insurance payment removed it from the insurance side but the client's billing history could still show the payment and the amounts it had applied to claims, making reconciliation confusing. Deleting a payment now reverses everything it recorded — the claim amounts, the client's billing timeline, and any client-responsibility amounts it had set — so the ledger matches what you see.

  • Deleting a client payment now handles account credit precisely. Deleting a cash or check payment reverses exactly the credit that payment created — never more — so a client's unrelated prepaid credit is untouched. Deleting a payment that was made from account credit now returns that credit to the client's account instead of removing it, and payments that covered several invoices are reversed on all of them.

  • Cancelling an appointment now fully retracts its billing. If session charges were already entered when an appointment is cancelled, they're now marked not billable so they can't appear in billing or auto-invoicing. No-show fees are unaffected — those remain your call.

  • Income reports no longer count deleted payments. The Income report, clinician income allocation, and client statements now exclude payments that were deleted, so they always match the Billing dashboard.

  • Editing an insurance payment now updates everything the posting created. Changing an allocation, client-owes, or write-off in the payment edit screen now flows through to the claim's payment history, the client's billing timeline, the invoice's amount due (what AutoPay charges), and unbilled session amounts — and zeroing out a claim's allocation fully reverses it, exactly like deleting the payment would. Deleting a payment after editing it also now reverses the edited amounts correctly.

  • Voiding a claim now cleans up after itself. The session returns to your Unbilled list so it can be refiled, the client invoice is unlinked from the dead claim, and any leftover insurance amounts are cleared. If a payment is still posted against the claim, voiding pauses and asks you to remove the payment first. Resubmitting a corrected claim now also relinks the invoice to the new claim.

  • Deleted payments can no longer be reused anywhere. They no longer appear as choices when recording an adjustment, no longer affect suggested write-offs, can't generate receipts, and open as a clearly-labeled read-only record.

  • Monthly superbills skip voided invoices. Auto-generated superbills are no longer created or emailed for invoices that were cancelled.

  • Deleting an externally-filed payment brings the session back to Unbilled. When you record an insurance payment for a session that was filed outside Practice Harbor, a bookkeeping claim is created behind the scenes. Deleting that payment now removes the bookkeeping claim too, so the session reappears in your Unbilled list instead of silently disappearing from it.

  • A clear heads-up when editing a claimed session. The session billing editor now shows a notice when the session is already on an insurance claim: changes update the session and client billing, but not the claim — void and refile to change what insurance is billed. And if you raise a fee on an already-paid invoice, the invoice now correctly re-opens with the remaining balance instead of still showing "paid."

  • Safer deletes across billing. Deleting a payment that has an adjustment recorded against it now asks you to remove the adjustment first; deleting an invoice cleans up its insurance payment records; and deleting an appointment also removes any draft claim that was started for it.

  • Turning on automatic invoicing no longer bills old sessions. Switching invoice creation from Manual to Daily or Monthly now only auto-invoices sessions from the day you switch — your unbilled history stays manual, so clients never get a surprise stack of back-dated invoices (or charges) overnight.

  • Editing a recurring series no longer revives deleted sessions. Changing a series' time or schedule used to bring previously deleted or cancelled occurrences back onto the calendar (and send clients reminders for them). Deleted stays deleted.

  • Deleting blocked-off time now frees the hour for online booking. Removing a blocked-time entry also removes it from your synced Google Calendar, so clients can book that hour again. Previously the invisible Google copy kept blocking self-booking forever.

  • Removing a team member now closes their online booking. Their booking calendar is deactivated with their account, so prospective clients can no longer book them from your website. If they supervise other team members, you'll be asked to reassign those supervisees first — so notes never queue for a supervisor who's gone.

  • Archived clients no longer receive automated messages. Deactivating a client now also stops their appointment reminders, recurring assessment requests, monthly statements and superbills, and past-due emails — and portal access for their linked contacts (like a parent) ends together with theirs.

  • Declined appointment requests stay gone. A declined booking request can no longer reappear later as a billable session in your Unbilled list.

  • Cancelling a session clears its pre-assigned assessment. When a measure (like a PHQ-9) was already sent ahead of a session that then gets cancelled or deleted, the request is withdrawn from the client's portal — and it no longer silently blocks the next session's assessment from going out.

  • Assessment housekeeping works as expected. Turning a measure off in Settings now pauses every client's recurring schedule for it (not just the send menu); ending a recurrence also clears the outstanding request from the client's portal; deleting an assessment removes its score from the client's charts; and intake progress no longer counts removed or recurring forms — so "Forms 4 of 12" can finally reach 12 of 12.

  • Superbill locks are consistent. Auto-generated monthly superbills now lock their sessions like manually created ones (no more accidental duplicate superbills), a failed superbill email no longer locks fee editing, and deleting a superbill reliably frees every session it covered.

  • Locations can be retired safely. A location used by existing sessions is now deactivated instead of deleted — past sessions and claims keep their place of service, and the location disappears from scheduling. Deactivated locations can be reactivated from Practice Details. Your default location can't be removed until you pick another.

  • New insurance from intake forms is no longer missed. If a client submitted new insurance during intake, an old cancelled plan or their self-pay setting no longer blocks it from being saved. And a plan given an effective end date is no longer billed for sessions after that date.

  • Removed team members are fully out of circulation. They no longer appear when assigning a primary clinician, filtering the calendar, addressing messages, seeding your website's team section, or choosing booking-widget targets — and a client message addressed to a departed clinician is delivered to the practice owner instead of going unseen.
