Week of September 20: payer enrollment status keeps itself current
The Payer Enrollment page now shows a payer's latest word on your enrollment without you pressing Refresh.
New
- Spanish for your client portal (beta). Under Settings, Patient Portal there is a new Localization option, "Clients can choose their portal language". Turn it on and your clients get an English / Español switch at the top of your portal, starting on the sign-in page; the portal also opens in Spanish on its own for a client whose phone is set to Spanish or whose Preferred language you set to Spanish on their chart. The whole portal is covered: signing in, appointments, documents and forms, billing, messages, video sessions and your public booking page. Sentences a client agrees to or pays under show the English underneath the Spanish. Your own forms, invoices, emails and text reminders stay in the language you wrote them. How it works.
- Remove a message you sent. In any client or team conversation, click the ⋯ on a message you sent and choose Remove message. The other side sees "Message removed" instead of what you wrote, and a file attached to that message is taken away from the client as well. You can still view the original, and it stays part of your practice's record. Only the sender can remove a message, and sent messages still can't be edited. In the Practice Harbor phone app, press and hold your message to remove it (update the app if you don't see the option). How it works.
- An email when Stripe pauses your payments. If Stripe, the card processor behind online payments, pauses client card charges or payouts to your bank (usually because it needs a document or is verifying something), you now get one email saying what is paused, why, and what Stripe is asking for, with a link to Settings, Payments. Before, the first sign was a failed charge.
- A warning before you double-book a client. When you book, move or repeat an appointment and that client already has an appointment at the same time, a "Scheduling conflict" message now lists the clashing dates before anything is saved. Choose Back to change it or Save appointment to book it anyway. Making an existing session recurring checks every new date in the series. You can also be warned about any overlap on your own calendar, with any client: open the gear on the Calendar, choose Calendar preferences, and under Alerts tick "conflicts with another appointment". It is off unless you turn it on.

- Your booking page shows your specialty, not license codes. Under each clinician's name, your public booking page now shows only the Specialty from Settings, Profile, the way you describe your work, instead of a list of license codes. A clinician licensed in more than one state no longer sees the same code repeated. If you haven't set a Specialty, only your name is shown.
Fixed
- Add-on codes stay on claims made the same day. If you created an insurance claim for a session before marking the session attended, the claim carried only the main service and left off add-ons such as interactive complexity (90785). Claims now include every service on the session, whether or not it has been marked attended. If you made a claim this way and haven't submitted it yet, open it and check its services before you send it.
- Enrollment status updates on its own. Under Settings, Payer Enrollment, a payer's status and any step it needs from you used to update only when you pressed Refresh on that row; the email we sent you about the change was right, but the page behind its button still said "Submitted". The page now updates within the hour of the clearinghouse reporting a change, and immediately when the clearinghouse notifies us, so "Pending", "Action required" and "Accepted" on the page match what you were emailed.
- A corrected client email un-blocks their mail. When a client's address bounced, Practice Harbor stopped emailing that client and the chart showed a red notice, but fixing the address did not lift the block; you had to write to support. Now saving the client with a corrected or new address lifts it on its own. If the new address bounces too, the notice comes back.
- Referral rewards now count renewals. The free months for referring a colleague are awarded once the referred practice makes its second payment. A subscription renewal was resetting that count, so the reward could never trigger. It counts correctly now.
- The AI Usage count resets on the 1st. A subscription renewal in the first days of a month could keep last month's count on the Settings, Subscription usage card until the next month. It now resets on schedule.
- A $0 client rate now sticks. On a client's Payment & Insurance tab (and a couple's or family's billing tab), a Default Rate or service rate of $0 for pro bono work used to vanish when you saved, and those sessions were charged your standard rate. $0 now saves and is charged as $0. A client's rate is also used now when you change or add a service on an appointment, and for sessions booked through your client portal, which used your standard rate before. Leave the rate blank to use your standard rate.
- Adding a service with your own code. Under Settings, Services, the fee schedule only accepted standard insurance codes like 90837, and a code with letters or a dash failed with just "Failed to save service". You can now give self-pay services your own code (for example IFS-INTENSIVE or SUPERVISION-60: letters, digits and dashes, up to 20 characters); spaces are fine too, so "90837 - ProBono" is saved as 90837-ProBono. If a service can't be saved, the page now says why, including when that code is already on your fee schedule and you can edit the existing one instead. Keep using the CPT code for anything you bill to insurance.
- Clients who land on the practice sign-up page are pointed to their client portal. A client looking for your client portal sometimes ends up on Practice Harbor's "start a practice" page instead and types in your practice name. That used to leave them at a practice sign-in that can't sign a client in. Now the page tells them it is for practices, they get an email with your practice's client portal address and the "Email me a sign-in link" tip, and a client who does sign in on the practice side is sent straight to your portal.
- Bank payouts no longer show up as client payments. Under Billing, Recent Activity, the transfer of your card takings to your bank appeared as a payment from an "Unknown" client. Payouts now appear only in Analytics, Payouts, and Recent Activity lists client money only.
